Battling the Blank Page: Strategies to Kickstart Your Productivity

Overcome Inertia: and Conquering Procrastination

My biggest enemy has always been a blank page. It's like staring into a void, wondering where to begin. Over the years, I've spent what feels like months gazing at that empty screen, grappling with where to start. Sometimes, I was simply unsure what to write, other times I found myself hesitant to make a decision, or I was worried about the potential outcomes.

This challenge of getting started, or 'impaired task initiation' as psychologists call it, has been a constant companion in my journey. It's a familiar struggle, but I've gradually learned to overcome it, and I want to share one of my breakthroughs with you. And guess what? The answer came from a rather unexpected source: Physics. (Yes, I promise this won't turn into a science lecture, but bear with me – it's quite enlightening!)

Let's talk about Newton's First Law of Motion, or the Law of Inertia. It tells us that an object will stay still, or keep moving in a straight line at a constant speed, unless an external force acts upon it. In a psychological sense, inertia means staying in our current state, whether that's inactivity or continuing our usual routines. It's about the resistance to change or starting something new, often due to habits, fear, lack of motivation, or even mental health challenges like anxiety or depression.

Once I realized this, I understood that when I'm an 'object at rest', I need to be my own force to overcome this inertia. It's about actively combating procrastination.

To kickstart task initiation, here are some strategies that have worked wonders for me:

  • Break tasks into manageable chunks to make them less overwhelming

  • Set clear deadlines for a structured approach and a sense of urgency.

  • Creating a workspace that minimizes distractions and helps you focus

  • Reward yourself after completing a task or a part of it – a little positive reinforcement goes a long way.

Understanding and tackling inertia and task initiation is key to boosting productivity, achieving your goals, and maintaining a balanced, healthy lifestyle. Let's conquer that blank page together!

Something to Think About

This Week’s Main Quest - The “Top 3” Method

This week’s Main Quest is all about helping overcome impaired task initiation by using a novel means of prioritization: You identify the top 3 most urgent/important tasks from your complete list of work every day.

The 'Top Three' Prioritization Method is a focused approach to task management and overcoming inertia. The idea is that by concentrating on a smaller number of critical tasks, you can reduce the feeling of being overwhelmed and significantly enhance your productivity.

This method is going to be super effective for anyone who finds themselves paralyzed by long to-do lists or struggling to determine where to start.

Why You Should Try It

  • Reduces Overwhelm: By limiting your focus to just three tasks, it simplifies your workload and makes it more manageable.

  • Enhances Clarity: It forces you to evaluate the importance and urgency of your tasks, leading to clearer decision-making.

  • Boosts Motivation: Completing a smaller set of tasks is more achievable and provides a sense of accomplishment, which fuels further productivity.

How To Do It

  • List All Tasks: At the beginning of the week, or each day, write down everything you need to accomplish. This list includes both big projects and smaller tasks.

  • Evaluate and Prioritize: Look at your list and ask yourself: Which tasks have the nearest deadlines? Which tasks will have the most significant impact on your goals or business? Are there tasks that have been pending for a long time and need immediate attention?

  • Select Your Top Three: Based on your evaluation, choose the three tasks that are the most urgent, important, or impactful. These are your priorities for the day or week.

  • Set Deadlines: Assign a realistic deadline for each task if they cannot be completed all at once. This creates a sense of urgency and helps in maintaining focus.

  • Focus on Execution: Work on these tasks one at a time. Avoid multitasking as it can dilute your focus and efficiency.

  • Review and Adjust: At the end of the day or week, review your progress. If you've completed all three tasks, you can move on to the next set. If not, evaluate what hindered your progress and adjust your approach accordingly.

By implementing 'The Top Three' Prioritization Method, you'll find that you can tackle your tasks more effectively, reduce the anxiety of where to start, and enjoy a more productive and fulfilling work week.

This Week’s Side Quest - Improve Your Workspace

In our journey to conquer the blank page, one of the most effective strategies is crafting a workspace that actively minimizes distractions and enhances focus. Your Side Quest this week is to take time to improve your work space to help make it more productive.

Let’s talk about a few things you can do to help with that.

Designate a Specific Area: Whether it's a corner of a room or a separate office, having a designated workspace signals your brain that it's time to focus. This physical boundary helps in mentally separating work from leisure.

Clutter-Free Zone: A tidy workspace reduces mental clutter. Keep only what you need on your desk. Organize your tools and documents in a way that they are easily accessible but not overwhelming.

Control Your Digital Environment: In today's world, digital distractions are as potent as physical ones. Consider leaving your phone in another room or turning it off when you are doing work. At the very least, turn off non-essential notifications on your phone and computer. (I posted a Bonus Quest in the Side Quest Solutions Facebook Community this week about this topic!)

Optimize Your Comfort: Ergonomics play a crucial role in maintaining focus. Invest in a comfortable chair and desk at the right height. Ensure your screen is at eye level to avoid strain. Comfort also extends to room temperature and lighting – make sure they are conducive to your productivity.

Incorporate Elements of Nature: Studies show that having plants in your workspace can boost productivity and reduce stress. If possible, position your desk near a window to benefit from natural light and a view of the outdoors.

Sound Matters: If silence is golden for you, invest in noise-canceling headphones. If you prefer background noise, experiment with ambient sounds or music that boosts concentration. There are numerous apps and playlists designed for focus and productivity.

Regular Refreshes: Take a few minutes at the end of each day to reset your workspace. This practice helps you start fresh each day and reduces the mental load of organizing your space in the morning.

Remember, there's no one-size-fits-all solution. The key is to experiment and find what uniquely works for you. By crafting a workspace that minimizes distractions and fosters focus, you're setting the stage for enhanced productivity and creativity. Let's make your workspace work for you!

Second Side Quest - Strengthen Your Network

Your Side Quest this week is all about Networking. But, not in the way that you might think. This week I want you to focus on strengthening the relationships you already have as opposed to going out and meeting a dozen new people.

Networking is about building genuine relationships rather than just increasing the number of contacts. These are people not pinball scores. By engaging authentically and offering value in your interactions, you can significantly strengthen your network within a short period.

There are lots of ways you could go about this, but here are three ways you can leverage social media to help make it easier:

Send Personalized Messages - Many of us use social media platforms like Facebook and Instagram. Use the Messenger app or the DM feature to reach out to someone in your network and talk to them! I don’t mean this in a “Say Hi and offer your sales pitch” kind of way either. I mean reaching out to someone and saying something along the lines of “Hey I saw a few of your posts on my feed and they made me think of you. I wanted to reach out and say hello!”

Answer Questions - Don't hesitate to provide an answer whenever you come across a question - particularly if the question is in your field. Sharing your knowledge in areas related to your business not only helps others but also establishes your expertise.

Organize a Virtual Get-Together - Set up a casual online meeting using platforms like Zoom, Google Hangouts, or Skype. This can be a great opportunity to reconnect with past colleagues or engage with fellow small business owners in your field. Whether it's a relaxed coffee break or a fun happy hour, it's a fantastic way to maintain and build connections.

This Might Sound Crazy But…

Sometimes I just need to see words on my page to get started and it doesn’t matter what those words even are. In those cases, I just go to ChatGPT and ask for 500 words of “lorem ipsum” text. The output will look like this:

Then I just start typing over it. It works like a charm to trick my brain into “seeing words” without spending any meaningful time writing them.

Tech To Try - Google Bard

I am a big fan of finding ways to use AI to help enhance my work. I have recommended ChatGPT before, but I can understand why folks might be hesitant to sign up for an account with a new service. This week I want to point out a great (free) alternative that everyone with a Google account has access to: Google Bard.

What is Bard?

Bard is a large language model from Google AI, trained on a massive dataset of text and code. Think of Bard as your super-smart assistant who can help you with a variety of tasks, from brainstorming creative ideas to tackling your to-do list.

Here are just a few ways you can use Bard:

Content creation: Stuck on writer's block? Bard can help you generate blog posts, website copy, social media captions, and even product descriptions. He can also translate languages, write different kinds of creative content, and answer your questions in an informative way.

Marketing and outreach: Need help crafting an email campaign or developing a social media strategy? Bard can analyze your target audience and suggest effective messaging and tactics. He can also help you find potential customers and partners.

Productivity boost: Feeling overwhelmed by your to-do list? Bard can prioritize your tasks, set reminders, and even help you schedule appointments. He can also automate repetitive tasks, like data entry and email scheduling.

Learn How to Do Things: You can elect to have Google Bard include YouTube videos in its responses. This can make it an amazing tool for finding instructions on how to do things.

I use both services almost daily so it is a good idea to get comfortable with both of them. They help me supercharge my productivity whenever I use them.
